How we collect, use and protect your personal information.

Waggie Pty Ltd trading as Wide Bay Charters respects your privacy. This policy explains how we collect, hold, use and disclose personal information, and how you can access, correct or complain about it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. What we collect
We collect personal information that is reasonably necessary for our functions as a charter and tour operator. Typically that includes:
- Name, email address, phone number and postal or pick-up address
- Organisation, role and billing details where you book on behalf of a school, club or business
- Booking details — dates, routes, passenger numbers, timings and special requirements
- Accessibility or assistance requirements you choose to tell us about, so we can provide the service safely
- Payment information necessary to process a transaction
- Correspondence with us, including enquiry form submissions, emails and call records
- Technical information collected automatically when you use this website (see the cookie policy)
2. Sensitive information
We do not seek sensitive information as a matter of course. Where you tell us about a health, mobility or dietary requirement so that we can provide the service safely, we collect it with your consent, use it only for that purpose, and do not retain it longer than necessary.
3. How we collect it
Usually directly from you — by phone, email, our enquiry form, or in person. We may also receive information from a person booking on your behalf (a group organiser, school, employer or travel agent), or from other Waggie Group brands where you have booked through them.
4. Why we collect it and how we use it
- To prepare quotes and provide the transport services you book
- To communicate with you about a booking, including changes on the day
- To process payments and issue invoices
- To meet safety, insurance and record-keeping obligations
- To administer Bus Buck$ loyalty credit where you participate
- To respond to enquiries, complaints and feedback
- To improve our services and this website
We will only use your information for direct marketing where we are permitted to do so, and every marketing message will include a simple way to opt out. You can also opt out at any time by contacting us.
5. If you do not provide it
If you choose not to give us the information we ask for, we may not be able to quote, provide the service, or meet a specific requirement such as accessible transport.
6. Who we disclose it to
We may disclose personal information to:
- Our drivers and staff, to the extent needed to deliver your booking
- Other Waggie Group brands where they are involved in delivering or administering your booking, including Bus Buck$
- Third-party suppliers involved in your itinerary, such as ferry and vessel operators or attractions, where you have asked us to coordinate with them
- Service providers who support our business — payment processing, IT, hosting, accounting and insurance
- Insurers and legal advisers in connection with a claim or dispute
- Government agencies, regulators or law enforcement where required or authorised by law
We do not sell personal information, and we do not disclose it to third parties for their own marketing.
7. Overseas disclosure (APP 8)
Some of the service providers we use — for example email, cloud hosting and website analytics — may store or process data on servers located outside Australia, including in the United States. Before disclosing personal information to an overseas recipient we take reasonable steps to ensure the recipient handles it in a way consistent with the Australian Privacy Principles.
8. Security and retention
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure, including access controls and secure storage. No system is completely secure, and we cannot guarantee the security of information transmitted over the internet.
We retain personal information only as long as it is needed for the purpose it was collected, or as required by law — for example, taxation and business records must generally be kept for several years. When it is no longer needed, we take reasonable steps to destroy or de-identify it.
9. Data breaches
We maintain a process for assessing and responding to suspected data breaches. If a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act.
10. Access and correction
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details below. We will respond within a reasonable period. In limited circumstances we may refuse access, in which case we will tell you why in writing and how you can complain.
11. Complaints
If you think we have breached the Australian Privacy Principles, contact us first using the details below and we will investigate and respond. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
